SPLM Membership Information System Developed to Modernize Membership Management

A South Sudanese Software Engineer has developed an innovative new digital SPLM Membership Information System, designed to centralize membership registration, verification, identification, payments, administration, reporting, and communication across South Sudan and the diaspora.

The system was developed by South Sudanese Lahat Mariel Apach, a Software Engineer at [KUNIEL] (kindly tag facebook page), a technology company building South Sudan digital future through digital skills, talent development, innovative software solutions, case-based research, and a self-sustaining tech community for South Sudan.

What is this System Solving?

For years, membership management has relied heavily on paper-based records and manual processes with membership data getting lost and untracked.

Issues such as inaccessible registration, ID issuance, fee payment, verification challenges, lack of insights into membership distribution across states upto boma level as well as diaspora, fragmented communication and unreliable paper-based data management

How the New System Addresses the Problem

The SPLM Membership Information System introduces a centralized digital platform designed to manage members and SPLM workflows from initial registration through approval, identification, payment, verification, administrative management, and continued engagement among other features.

Below are some of its key features are:

  1. Online registration from anywhere

Members anywhere; South Sudan or diaspora can register/apply online without need for a physical register book or visiting an office.

  1. Centralized approval and verification

Administrators can review applications, approve members and maintain consistent membership records.

  1. Online membership fee payment

The platform supports digital payment processes, giving members pay membership fees with their preferred payment mode while allowing administrators to monitor payment status, sending reminders if need be.

  1. Verifiable Digital membership IDs with QR code

Approved members can access and download their digital membership identification cards through their personal portals, reducing dependence on manually produced physical cards. The Card has a unique membership ID and QR code for verification.

  1. Member portals

Once approved, members can access their own portals, manage their information, make their annual subscription fee payments, view membership details , receive communication on their portal and obtain their membership IDs.

  1. Administrative structure from State to Boma

The system is designed around the organizational structure of the SPLM, allowing membership information, management and communication to be organized across states, counties, payams and bomas. This provides a more structured picture of the party’s membership base.

  1. Dashboards and reporting

Administrators can use centralized information and reporting tools to monitor registration, membership mobilization and fee clearance, providing leadership with better information for planning and decision-making.

  1. Role-based administration

Different administrators can be assigned appropriate levels of responsibility. Local administrators can manage their respective memberships, while national administrators can maintain broader oversight of the system. National Secretariat also monitors operations of State level to boma, operations and performance on the system.

  1. Centralized communication

The platform provides infrastructure for structured communication with members across different organizational levels and geographical locations, including the diaspora. For example, if the SPLM National Secretariat wishes to conduct a rally, a message is sent out to all members of the SPLM within and outside the country at once. Should they wish to target a particular State or boma, they can do so with ease.

Why the Time Is now for SPLM to Digitize

For a political organization with a major national presence and a large membership base, digital transformation should be at the core of its operations, with members distributed across states, counties, payams and bomas, as well as across the diaspora. Managing such a network effectively requires accurate, robust, accessible and timely information.

A centralized digital membership system can provide the SPLM with a clearer real-time understanding of who its members are, where they are located, their membership status, payment status and how different organizational structures are performing from State to boma levels.

System Access

The system is currently accessible through membership.splm.co.ke and is ready for integration with an appropriate .ss domain uniquely for SPLM. At the time, I couldn’t find .ss domain, but given that SPLM has its domain, this can be integrated anytime.
